Tenant Profile Survey 2026

This year, 2026, we are contacting all of our tenants to make sure the details we hold on our systems about them are up to date and accurate, which will ensure that we communicate and provide services to our tenants meeting all needs and preferences and know when it is necessary to give tenants extra support if they need it. This is information that we will update each year moving forward.

We have designed a short survey for tenants to provide key pieces of information that we need; these include asking tenants to provide contact details about who is currently living as part of their household and also questions related to equality and diversity.

Please be assured that we are not being nosey, being aware of all this information will help us to make sure that all our policies and services are suitable for all our tenants and that we comply with the Equality Act.

To provide our tenants with more information and assurance about why we are asking them all to complete our profile census survey, we have developed a set of frequently asked questions. We also want to provide assurance about data protection, as we are asking tenants to provide sensitive information. Please refer to our privacy statement below.

The survey itself will take no longer than 10 minutes to complete. With the exception of providing a tenant ID number, all other questions are mandatory and tenants will not be able to submit the form without answering all those questions.  

With some of the questions we are asking, there is the option to select ‘prefer not to say’. This response will be recorded in our system against the tenancy record, as any other response selected will be.

Privacy Notice – Data Protection

Ashford Borough Council is the data controller for the personal information collected as part of the Housing Tenant Profile Census. We are carrying out this census to ensure the information we hold about our tenants (you) and your household is accurate, up to date and supports us in delivering fair, accessible and effective housing services. This includes communicating with you, understanding your needs, planning services, and meeting our legal duties under housing and equality legislation.

Most of the information we ask for is already held on your tenancy record. By completing this census, you are helping us verify and update that information. Some questions involve personal or sensitive information (for example, health, disability or equality‑related data). This information, if you choose to provide it, is collected so that we can better understand tenant needs, identify where extra support may be required, and ensure our services are inclusive for everyone.

We are collecting and using your information because the council has official functions and legal responsibilities as a social landlord. Processing is being conducted under the public task legal basis (UK GDPR Article 6(1)(e)). Where any special category data is collected, processing is carried out under Article 9(2)(g) (substantial public interest).

Your information will be stored securely and handled in accordance with all Data Protection laws. Once the details you provide have been updated on our systems, this will be held for as long as you remain a tenant plus 7yrs. Your census information will not be shared outside the council unless we are legally required to do so, or it is necessary for safeguarding or other statutory reasons.

The results of this survey will not be published in a way that identifies you. Any reporting will be based on grouped or anonymised information only.
